How to shrink a PDF so you can email it

Practical steps to make a PDF smaller for email using ManageMyPDF: what Low, Medium, and High actually change, and when compression barely helps.

How to reduce a PDF for an email attachment

  1. Keep the original

    Compression can change how photos look. Save a copy of the original PDF until you have opened the smaller file and checked the pages you care about.

  2. Open Compress PDF and add the file

    Drop one PDF of up to 50 MB per file and 500 pages per PDF. The file is read in this browser; it is not sent to a server.

  3. Start with Medium

    Medium redraws each page as a JPEG for a smaller file. Use High if a form still rejects the attachment. Use Low if you only need a lighter rewrite and must keep selectable text.

  4. Open the result before you send it

    Check photos and small type. If Medium is still large, try High. If Low barely shrinks the file, it may already be compressed or contain little image data.

What Low, Medium, and High do on this site

Low re-saves the PDF with object streams and leaves the original page content in place. That is the setting to use when you will print the file or still need to copy text. It often only trims a little.

Medium and High redraw every page as a JPEG at different scale and quality, then wrap those images in a new PDF. That is why photos shrink more than a text-only report, and why you should not use High as an archival copy.

If the file is still too large

The compressor will not accept a PDF over 50 MB. If your export is larger than that, split it in another app first, or convert only the pages you need to JPG. After a merge, compress the combined packet rather than each file in isolation if the email cap applies to the attachment you will send.

Many mail systems still reject very large attachments even after compression. There is no universal size that every provider accepts, so check the result on your own account before you assume it arrived.

Which compression level should I use for email?

Try Medium first. It usually shrinks scans and slideshows enough for common attachment caps. Use High when a portal still rejects the file and you can accept softer photos. Use Low when you need the original text to stay selectable.

Will the compressed PDF still have selectable text?

Only Low keeps the original page content. Medium and High render each page to a JPEG and put those images into a new PDF, so the result looks like the pages but the text is no longer selectable.

Why did my PDF barely get smaller?

A file that is mostly vector text, or that was already compressed, has little extra data to remove. Low only rewrites the PDF structure. If size still matters, convert the pages you need to JPG or split the document first.
